Cosmetic Product Specification Sheet Template for RFQs
A clear specification sheet helps a cosmetics factory quote faster and reduces misunderstandings during sample and bulk production planning.

Start with commercial fields
A product specification sheet should start with commercial context because quantity, destination country and channel affect MOQ, packaging and document discussion.
The buyer should include target launch timing and whether the first step is available sample, custom sample or direct bulk quote.
Buyer checklist
- Product name or working name
- Destination country
- Target channel
- Target quantity
- Sample deadline and launch deadline
Add technical product fields
Technical fields help the factory understand what the product should be before discussing price. For skincare, hair care and body care, texture, active direction, fragrance and capacity are especially important.
Buyers should avoid vague wording and list measurable or visible requirements when possible.
Buyer checklist
- Category and form or texture
- Active ingredient direction or INCI preference
- Fragrance and color direction
- Capacity and packaging type
- Claims direction for compliance review
Include documents and approval checkpoints
The specification sheet should include required documents, sample approval steps, packaging artwork status and final sign-off responsibilities.
This keeps sales, buyer, R&D, packaging and QC teams aligned before the project reaches bulk production.
Buyer checklist
- MSDS, COA or other product documents
- Certificate information requested
- Formula sample approval
- Packaging mockup approval
- Pre-production sample approval
